Tax questions for a newbie

Hi. I'm preparing for my first art fair in 2 (!!!!YIKES!!!!) days. Math has never been my strong suit. Is it ok for a person to charge a price ... let's say 40.00 for a piece, and have it include the tax which you would then subtract from your profits? I just got a smartphone with the square card reader, but haven't even activated the phone yet, so I don't know if it's easy to calculate tax with that or not.

.... really starting to sweat now.....

    I did have some trouble with my square. ... Well, actually with my brain. Having a total of 2 days to learn my smartphone and then to learn square, I'm not surprised. I almost missed a sale because I couldn't figure out how to get back to the page where you type in the sale amount. Luckily my customer was willing to write a check. Pretty embarassing... ugh... but she was nice and understanding about it. I also learned that I can't get or make calls with my square on my phone. All in all, I'm very happy with square now. I think I will be able to handle it next show!

  • Hey Sandy-- just a head's up, if you use a "case" of some type with your smart phone, the square will not fit properly and therefore will not be usuable unless you take the cover off first!   I had that happen a couple times and thought I was just in a "poor reception area", luckily did not lose a sale as the customer "found" the money needed.  But once I took the "otter" cover off, it worked fine.  Kind of a pain to have to do, but as clutzy as I am, I can't go without a cover.  ;)

  • Thanks for asking this question, Sandra. And, thanks to all who answered. You've answered a query I was about to do--to figure out how to get Square to calculate my tax.

  • square is a real good tool for calculating taxes. Just do several practice swipes before each show to make sure it is working properly. You can put in $0.00 for the sale amount and swipe your own card to do the test. Always a comfort to know it is working OK.

    I use the settings to put in the correct tax amount prior to each show since the total tax can vary in the same state because not all cities have the same tax amount even though the state tax remains constant.

  • Hi Sandy! I use PayAnywhere and it is a breeze to use. You decide whether or not to charge tax (yes, do!) and then it allows you to change it according to your location. I'm still new at this, too, only having done two shows so far, but have been really happy with PayAnywhere! Good luck and have fun!
  • Deep breath, Sandra! :-)  You'll find the Square handles this very easily.  Tip:  If you will find yourself doing taxes in more than one state, you'll like that the Square gives the ability to set up a different tax rate for each state.  You just set up the tax in the Settings | Taxes menu, and then, when you go to another state, you can turn off the original tax and turn on the new tax.  It's really sweet, because it will keep the taxes separate for you.  Good luck!

  • THANKS to all! YAY! It sounds like the Square will be the help I need. We just got the phones in the mail yesterday, and they won't activate on their own, so we will take them into the local store today. I don't know why I'm getting so nervous. I need keep telling myself to chill out.....

  • you may want to activate your phone now   you will also need to set up your banking account with square before you are at the show

  • I agree with both. Just enter the tax rate into Square. You will find it in settings.

  • I seem to recall that some states do not allow you to "include" the tax. It's better for your customers to understand that you are required to collect tax, not charge tax, which will also effect how they interact with other artists. It's also better for your bookkeeping.
